A growing catalog eventually represents years of shoots, retouching work, and finished files that would cost a genuinely significant amount of time and money to recreate from scratch. Most businesses only think seriously about backing that archive up after something has already gone wrong, a corrupted drive, an accidentally overwritten folder, a laptop that gets stolen with the only copy of last month’s shoot still on it.

Backup and disaster recovery is a separate concern entirely: not how easily you can find an image, but whether it still exists at all after something goes wrong. A perfectly organized DAM system built on a single, unprotected hard drive is still one failure away from losing everything, no matter how well tagged and searchable it was beforehand.
Interestingly, the most widely used backup framework in professional use today wasn’t originally built for servers or corporate IT, it came directly out of photography. Photographer Peter Krogh popularized what’s now known as the 3-2-1 backup rule specifically to help photographers protect irreplaceable image archives, and the same logic applies just as directly to a product photo catalog as it does to a wedding photographer’s client files.
The rule is straightforward: keep three total copies of your data, on two different types of storage media, with one of those copies kept somewhere physically offsite. The reasoning behind each part matters. A single copy has a real, quantifiable failure risk. One widely referenced backup guide lays out the math plainly: a typical consumer hard drive carries roughly a 2 to 5 percent annual failure rate, meaning a single, unbacked up drive has a meaningful chance of failing within just a few years. Multiple independent copies compound that protection dramatically, since all copies would need to fail simultaneously for a genuine total loss to occur, an event several orders of magnitude less likely than any single drive failing alone, as one detailed breakdown of the math behind the rule lays out.
Storing three copies of the same archive on three identical external drives sounds safer than it actually is. Drives purchased at the same time, from the same manufacturer, used under similar conditions, tend to fail in similar timeframes, which undermines the protection multiple copies are supposed to provide. Genuinely different storage types, a local drive plus a cloud storage service, for instance, protects against a wider range of actual failure causes, since a single event, a ransomware attack, a specific hardware defect, a local disaster, is far less likely to affect two structurally different storage systems at once.
Two backup copies stored in the same physical location, even on different types of media, remain vulnerable to the same local event: a fire, flood, theft, or serious equipment failure at a single site. An offsite copy, whether a cloud backup or a physical drive stored somewhere else entirely, protects specifically against that category of risk, one that duplicate onsite copies simply can’t address regardless of how many of them exist.

Add a genuinely separate backup, ideally an automated cloud backup service that runs continuously rather than depending on someone remembering to manually copy files.
Confirm at least one copy is truly offsite, physically or logically separate from the primary working location, so a single local event can’t affect every copy at once.
Test the restore process periodically, not just the backup process. A backup that’s never actually been restored from is an unverified assumption, not a proven safeguard. Confirming that files can actually be recovered, on a schedule, catches silent failures before they matter.
